Tracks, pathways and promotion planning
For Assistant and Associate Professors

See where you stand for promotion, and what to do next.

Answer a few questions and get a first estimate in about a minute: the track or pathway your record fits best, the requirements you already meet, and the actions that would close any gap. Confirm the details whenever you are ready. It works for university faculty on the research, educator and hybrid tracks, and for clinical faculty on the clinician-educator and clinician-scientist pathways. Everything you enter stays in this browser.

Quick read

A few questions, about a minute. Answers become estimates in the full rubric below, which you can confirm one by one.
Or confirm the full rubric below first.

Confirm the details

The full rubric. Items marked estimated came from your quick answers; edit them to confirm. Items marked Committee-judged are scored by a committee from your evidence, so your result shows a confirmed score and a best case.

When you would qualify at your current pace

The band is the range between confirmed and committee-judged evidence. You qualify in the first year every requirement row is lit, panel requirements included, not when the total crosses the bar.

Assumptions

Research grows from the rates below; education, service and clinical scores by points per year plus any milestones. Growth in points is shared between the two panels of a portfolio according to the room each has left.

Milestones

Tick one and set the year it lands. It steps the relevant rubric items that year, on top of the rates.

Tracks, pathways and ranks

Faculty are grouped as clinical academic (hospital-based), university academic (university-based) or adjunct (external, part-time). Every category shares one ladder of ranks; clinical and adjunct titles carry the prefix "Clinical" or "Adjunct".

Research track

Postdoc or Lecturer → Assistant (independent investigator) → Associate (national research leader) → Full (international research authority).

Competencies: research design, publications, grant acquisition, leadership, mentorship, impact.

Educator track

Tutor, Instructor or Lecturer → Assistant (building educational identity) → Associate (regional or national recognition) → Full (national or international educational leadership).

Competencies: effective teaching, curriculum design, leadership, scholarship, mentorship, impact evaluation.

Hybrid track

Combines both pathways with balanced expectations across research and education at every rank. The default track for new Assistant Professors.

Competencies: a blend of the research and educator sets.

Clinician-Educator pathway

Clinical Assistant Professor (emerging academic clinician: safe, evidence-based care and strong bedside teaching) → Clinical Associate (expert clinician and recognised leader in clinical education) → Clinical Full Professor (master clinician who shapes educational practice).

Clinician-Scientist pathway

Clinical Assistant Professor (emerging independent investigator) → Clinical Associate (established investigator with sustained external funding) → Clinical Full Professor (internationally recognised scientific leader who shapes a field).

Academic ranks

Pre-professorial

Tutor, Instructor and Lecturer, on fixed terms of one to two years. Tutors and Instructors provide peer teaching and relieve faculty load. Lecturers require instructional training and are a preparatory stage for the professorial ranks.

Professorial

Assistant Professor is entry level, competitive and permanent. An Assistant Professor may apply for promotion after four years in rank and is expected to apply by the end of the sixth. Associate Professor is a career rank. Full Professor is a senior, internationally recognised scholar and leader.

Outside the ladder

Visiting, Emeritus and Honorary Professors, and the proposed Professor of Practice: a fixed-term appointment for distinguished practitioners, made on the case presented and not reached by promotion.

Faculty choose a track with chair endorsement. Assistant Professors start in Hybrid and choose at mid-tenure or on application. A change of track is permitted after six months with chair approval, and counts for promotion 12 months after it is approved. A clinical academic changes pathway on the same conditions, with the endorsement of the clinical service chief. The clinical weightings assume an agreed job plan that protects the matching share of time.

Promotion process

  • An unsuccessful applicant receives the panel scores and written feedback within 30 working days and may apply again after 12 months.
  • An application is assessed on the track or pathway held when it is submitted, and on the version of the forms then in force.
  • Appeals are on procedural grounds only, lodged within 15 working days of the written decision.
  • Faculty in post when the framework is adopted may, for 24 months, choose the previous criteria or this framework.
  • These periods are proposals in the revised report and are for the Task Force to set.

Scoring and thresholds

Every applicant submits a research, an education and a service portfolio; clinical academic faculty add a clinical portfolio. Each form adds up to its maximum, so a score is the sum of the marks earned. Scores are weighted by track or pathway; service counts in full everywhere. Promotion requires every domain minimum, the overall bar and the panel requirements.

Research / 100

Publications (output panel)55
The Researcher (senior panel)45

Education / 100

Educational Activities (output panel)55
The Educator (senior panel)45

Service / 20

Each activity is scored out of 20 on relevance, engagement, outcomes and sustainability (5 each). The score is the average of the best three, which must include one intramural and one extramural activity.

Clinical / 100 · clinical pathways only

Clinical Excellence (practice panel)40
Clinical Productivity (practice panel)20
Clinical Innovation (senior panel)20
Clinical Leadership (senior panel)20

Excellence and productivity are scored 0 to 4 against the average for the same specialty and site, from quality-office data. Innovation and leadership are scored 0 to 4 for each domain by evaluation of the evidence. A metric or domain that does not apply is left out and the form is scaled to its maximum.

Minimum thresholds, in weighted points

Every minimum and the overall bar must be met. The minima add up to less than the bar, so at least one domain has to go beyond its minimum.

Panel requirements, in panel marks

A junior applicant carries the case on the output or practice panel. A senior applicant also shows achievement in the senior panel.
Track or pathway, and promotionRequirement
An achievement is credited once. A published SoTL paper counts on the research form; the education form credits the teaching behind it. Research mentees are credited on the research form and learners on the education form. A leadership role is claimed in one portfolio only.

About this tool

A planning aid built on the Task Force on Faculty Tracks and Promotion report of May 2026 as revised in September 2026. It reproduces the revised score sheets, thresholds and panel requirements so faculty can see where they stand and what would move them.

Limitations

  • It is not a promotion decision. Committees score judged items from evidence; this tool shows a confirmed score with those at zero and a best case with your own ratings.
  • The thresholds, panel requirements, clinical marks and process periods are proposals in the September 2026 revision. They change if the Task Force decides differently, and the rubric version will change with them.
  • Clinical Excellence and Clinical Productivity are scored by the quality and clinical affairs offices from data, metric by metric. Here you give one reading per domain, so treat the clinical score as an estimate until you have that report.
  • The projection shares yearly growth in education and clinical points between the two panels of each portfolio; it is a rough guide to when panel requirements are met.
  • Your inputs are stored only in this browser. Use Save scenario for a portable copy.

Compare two scenarios

Save your current inputs as A, change them, save as B, and see both side by side. Or load B from a scenario file. Both are scored against the promotion you are aiming for now.

What changed

The tool and the rubric it encodes are versioned separately. Scenario files record both, so a result from an earlier rubric is never silently compared with a later one.

Rubric version

Task Force on Faculty Tracks and Promotion, report of 19 May 2026 as revised on 20 September 2026: score sheets that add up, bars of 60 and 70, panel requirements, and the clinical pathways. If the Task Force changes the marks or thresholds, the rubric version changes and older scenario files are converted or flagged on import.
